8 . Should always be prepared to answer questions regarding the financial status of the PTFA- Modified ;
9 . Carries out such other duties as are assigned by the President .
Secretary
1 . Takes minutes at all PTFA-Modified and Executive Team meetings by recording minutes , presenting them to the President for review before finalizing and distributing to the Executive Team members and Head of School ;
2 . Distributes within one week the minutes of all meetings to the PTFA-Modified President , the Head of School , and any others so designated by the President ;
3 . Keeps minutes on file and is able to refer to them at subsequent meetings when there are questions ;
4 . Has custody of all records and documents of the PTFA-Modified and Executive Team , except such financial records as are properly retained by the Treasurer ;
5 . Takes attendance at all PTFA-Modified meetings and activities ; 6 . Prepares mailings for the PTFA-Modified and Executive Team ; 7 . Takes care of all correspondence as needed by the Executive Team ; 8 . Attends all Executive Team meetings ; 9 . Carries out such other duties as are assigned by the President . ELECTIONS :
Elections for each office shall be held on an annual basis as needed . A single term of office shall begin on the last day of school during an election year and will continue for two years .
The meeting for the election of officers shall be held in May . The newly elected officers will attend at least one joint meeting with the incumbent officers in May or June before they assume their terms on the last day of the school year .
A Nominating Committee shall be appointed in January by the President and the Head of School to serve with them in nominating the candidates for officers for the coming term . All nominees for offices shall be presented to the School Board for approval before presenting their names to the PTFA-Modified for voting .
Should the PTFA-Modified wish to recommend the reconstitution of the PTFA , the regulations of the PTFA By-Laws must be followed in preparing a ballot and electing officers .
