Before confirming with the venue, VERITAS confirmed the venue had appropriate insurance documents, which they obtained a copy of, to go with the insurance which covered VERITAS in case of injury to attendees or staff. The layout of the room also ensured there was no risk of injury,

by taping down any wires that would present a trip hazard and having enough space between tables for ease of foot flow to and from the betting station.

Room capacity was also monitored to ensure there was no risk of exceeding this. VERITAS' objective was to have 80 people minimum attend, which left plenty of room if people turned up on the night.

For the night to be delivered in a professional manner, a running order was drawn up to provide the order of the races and raffle draws. The first race was set to start at 8 o'clock, however the first race wasn't shown until 8:15 as it was decided it would be better to wait until all attendees that had pre-bought their tickets to arrive. This would guarantee that everyone knew how to place bets and had been informed about what the night is in aid of, to get the full welcome experience and avoid confusion.
