Administrative Services directly supports the missions of the Fire Department. Responsibilities include fiscal management of Fire Department funds, including development and management of the Fire Department’ s operating budget, oversight of the 911 Dispatch budget, and assistance with documentation of SAFER and UASI grant expenditures. Cost recovery is pursued for largescale incidents. During EOC activation, Administrative Services staffs the Finance section under the requirements of the Incident Command System. The section is responsible for coordinating technology issues, administration of the Firehouse record management system, development of automated reporting tools and analysis of data.
Administrative Services provides technical assistance with employee relations, promotional processes and recruitment, and coordinates submission of Staff Reports to the Mayor and City Council. Payroll data entry and administration for over 300 employees is provided. Administrative Services personnel develop the Fire Department’ s newsletter and reports to the Department, City management, and outside entities such as the International City / County Managers Association, the National Fire Protection Association, and the State Fire Marshal’ s Office. Staff also process payments to vendors, disburse petty cash, maintain overtime hiring lists, and assist with public education and open house events. In addition, the section provides administrative support to the Fire Chief, Assistant Chiefs, and the Special Events section.
