CHALLENGES
• An inconsistent level of planning across all venues resulted in a few last-minute logistical challenges in obtaining needed supplies .
• Ice , water , and cooling fans were not pre-distributed to the aid stations and fields of play prior to first day of operations , and resulted in a delay in providing those services to all venues .
WHAT WORKED WELL
• The staffing model allowed for well-staffed stations at each location , with no waiting for medical care and chief complaints being immediately addressed .
• Early walk-throughs of venues during venue planning to plan logisitics .
• Nursing leaders from the various health care groups served as medical aid station site leads that facilitated efficient flow of information and guidance during site setup , daily operations , daily closing , treatment policies , documentation , etc . with assigned volunteers .
• Level of expertise at each aid station was more than sufficient to take care of every illness / ailment that presented .
• There was good communication between TWG venue leadership and TWG Organizing Committee when needs had to be escalated . All requests were promptly addressed and satisfactorily addressed .
RECOMMENDATIONS FOR FUTURE GAMES
• Improve communication at each aid station to central command and between other on-site medical groups staffing venues .
• Have a plan to expand or contract a site to be able to flex staffing levels as needed .
• Have efficient plan for nutrition , hydration , and cooling of staff in place long before the first day of operations .
• Include TWG venue management on the medical planning team early in medical station planning . Consistent planning and coordination across all venues is needed to anticipate needs and prevent last minute requests and logistical challenges .
CREDENTIALS AND SHIFT REGISTRATION
All licensed medical providers had their medical license verified prior to registering for specific volunteer shifts through The World Games Rosterfy volunteer management system . Shift registration was managed through an online SignUpGenius software . This made it simple to have volunteers sign up for shifts that they could staff . It also allowed for easy administrative setup and assigning the number of staff and roles each site needed at a specific time . Each staffing leader was responsible for managing the SignUpGenius for their venue . That information was then conveyed to leadership and updated on the central staffing matrix . Competencies of staff were validated by the staffing leader assigned to each individual venue .
