An Income/Expense or Banking Summary or Profit/Loss
report (from the beginning of the fiscal period to the current
reporting date). The income/expense report should be
compared to the budget for the same time period and
explanations provided for material variances from the
budget.

If the membership seeks more information, the Treasurer
should provide:
a.
A list of each check written with a description of the
purpose and amount.
b.
A list of each deposit and its purpose.
c.
Copies of bank statements with reconciliation
reports.
Information should be disseminated monthly, or as often as the
Chapter meets, and it must be maintained or generated from Quicken
or QuickBooks.
Said report should be provided to the President in advance for the
Executive Committee Meeting.
The Treasurer shall complete and file all financial reports as required
by the National Treasurer and Regional Secretary/Treasurer.
The Treasurer shall submit financial records to the Audit Committee
(see below) and maintain all financial records and vouchers for
submission thereto.
The treasurer shall; maintain only two (2) bank accounts in the
Chapter’s name for operating and fundraising.
XIII.
Chapter Fundraisers
A.
Please review the National Financial Handbook for information
regarding the management of fundraising funds.
B.
Chapter shall maintain a fundraising account that includes funds
raised by Teens.
C.
The Chapter shall disburse all fundraising funds (as allowed under
National rules) on an annual (calendar year) basis.
XIV.
Budget
A.
The Budget and Finance Committee shall prepare the annual
budget for the Chapter’s review at the April Mother’s Meeting.
B.
The Chapter must approve the final budget at the May Mother’s
Meeting.
XV.
Record Retention
A.
All cash receipts, canceled checks, and related documents must be
kept on file for five (5) years.
B.
All voucher records should be maintained for 7 years (See the
National Financial Handbook).
