1662 – Scoping for Prospect Enquiry Management Systems Integration Project
The University of Brighton requested support from SUMS to understand the landscape of communications
with prospective students from pre-application to enrolment: from various central service units through
multiple channels of engagement. Brighton had implemented a Student Management System for preapplication enquiries in summer 2015 and had identified a number of systems in use and wanted to
understand whether systems integration could lead to more effective service delivery.
SUMS conducted a number of stakeholder interviews with representatives from Marketing, Academic
Services, Student Services, Accommodation and IT Services (communications from Academic Schools were
out of the scope of this work). A map of systems and communications was created to inform discussions.
A number of concerns and limitations of current systems, processes and data were raised. Outputs included:
• Systems maps – created for the various services communicating with pre-enrolment students
• Lists of the ways that pre-enrolment students can initiate contact with Brighton and the ways that
Brighton communicates with pre-enrolment students
• Statistics – collated and analysed on the use of Student Information Desk for pre-application enquiries.
The University uses SID to harvest emails from a number of sources.
Four systems integration options were identified and compared and a number of supporting
recommendations were made. For the preferred option, a to-be systems map was drawn up that
highlighted potential systems integration patterns.
