d . Prepares the system for the ROV audit which is normally at client ’ s cost . Any punch-list has to be closed prior to departure . The auditor performs a detailed check of the whole ROV system and once satisfied , issues a certificate and a report . e . Instructs the logistics department to prepare a packing list and delivery note for the transportation company . f . Prepares a mobilisation checklist to ensure nothing required for the project is left behind . Any special notes for the offshore crew have to be prepared at this point . g . Checks that all load-out parts are in place . All purchases are done at this point by filling up a ‘ Material Requisition Form ’. h . Prepares HSE procedures , job safety analyses or job hazard analyses for all roles . i . Reads the scope of work ( SOW ) and prepares operational procedure as required .
2 . Operations secretary / manager : a . Contacts all confirmed crew members ( three for day shifts and three for night shifts ) to get ready for mobilisation . Note that this is for a work class and heavy work class system . For the observation class usually only four crew members are required . The breakdown of the roles are two ROV supervisors , two pilot technicians , and two submarine engineers . If there are more than one ROV system onboard , an ROV superintendent would be required . b . Prepares copies of crew documents such as resumes , medical reports , BOSIET certificates , passports , visas , ROV logbooks , accommodation booking , air tickets , etc . for submission to the client . c . Prepares crew change matrix as it is normal to have a 14-day rotation for offshore crew members . With this in mind , the replacement crew list has to be ready in time .
