basketballscotland Annual Report OPERATIONS REPORT Membership System The improvements to the implementation of the online registration system have continued during the season 2012-2013. The system has facilitated club secretaries and independent members to access their membership information and process their registrations online. The main challenges faced by club secretaries have been tackled. Additionally, we have been able to introduce members’ qualifications information in the “self-service system” and, consequently, this information is now available to club secretaries and individual members. Moreover, a new application has been introduced to ease the internal mailing process for club secretaries. This application allows them to select a group of members and feed their email addresses directly into any available mailing system. The support to club secretaries has been continuous and consistent during the season. Membership related communications have increased in order to guarantee direct and open communications with clubs and members. These communications have improved the level of customer service provided to our members, and have helped to monitor the registration processes. sportscotland, through Project Fusion, has supported the introduction of our current software Sage CRM, and they will be looking to move to the next generation software in the next year. basketballscotland will consider its business and members’ needs and evaluate the next step moving forward in this area of the business. Operations Our main focus has been on streamlining our processes and improving efficiency. By incorporating new systems we have reduced time in areas such as finance, HR and administration and this redirected our focus to other essential areas. These improvements are helping us to provide members, volunteers and clubs with the support and service they require, and are helping us achieve our “Customer Commitment” which can be found on our website. This is our promise to engage with members and partners in a positive, constructive manner, with a view to improving basketball in Scotland. Staffing In 2012 we changed our staffing structure. This has had quite an impact on our organisation, especially in our Cashback funded posts in the Regional team. Our updated recruitment and management policies have proven successful and we are now rolling out new HR, Governance and Practice, Data Protection and Finance policies in the coming months. 47
