STEPHENSON COUNTY FAIR ASSOCIATION GENERAL RULES AND REGULATIONS *** READ ALL RULES BEFORE FILLING OUT ENTRY BLANKS *** ENTRIES WILL CLOSE ON AND MUST BE PAID IN FULL AND IN THE FAIR OFFICE BY JULY 14 BY 4 PM
1 . The Stephenson County Fair is open to exhibitors in any county , and all exhibitors must purchase an Exhibitor Ticket ( including Sheep Costume Class ).
2 . If you register a livestock animal , horse or non-livestock item in the wrong class , you must enter it into the correct class as a new entry .
3 . Entries in Departments A , H1 , B , H2 , F , H3 , G , H4 , I1 , H5 , I2 , U1 , H6 , U2 and H7 must be in place by the department weigh-in time , time listed in rules , if applicable or 11 pm on Tuesday of fair week , whichever is earlier and must remain in place until Saturday , July 29 , 2023 at 6:30 pm . No livestock trailers will be allowed on grounds before 6:30 pm on Saturday , July 29 , 2023 . ABSOLUTELY NO EXCEPTIONS !
4 . Any Exhibitor who removes livestock before the release time will forfeit all premiums , unless attending another show AND authorized by the Superintendent and Fair Office no less than one week prior to the start of the Fair . See Livestock Entry Form to submit request .
5 . Non-Livestock Premium checks will be ready Sunday , July 30 from 12 to 2 pm Checks need to be picked up at this time . In the event that checks are not ready on Sunday , they will be mailed within two weeks . Premium checks not cashed within 90 days of issue date will not be reissued . THE STEPHENSON COUNTY FAIR ASSOCIATION IS NOT RESPONSIBLE FOR LOST OR STOLEN CHECKS . Re-issued checks are subject to the deduction of the stop payment fee . Questions or inquiries on premiums will not be considered after August 8 , 2023 .
6 . Online Entries are highly encouraged , check out our website for the link ( www . stephensoncountyfair . org ). Entries in ALL Departments ( Livestock and Non-Livestock ) must be received ( NOT POSTMARKED ) by July 15 at 4 pm in the Fair Office . Telephone or fax entries will not be accepted . All entries must be accompanied by a check , cash , or money order for exhibitor ticket , entry fee , and pen / stall fees . Credit / Debit Card payments will be accepted in the Fair Office or over the phone . NO REFUNDS ! There will be a $ 30.00 fee for returned checks .
7 . The Stephenson County Fair Association reserves the right to reject all entries in a complete department if deemed there are an insufficient number of entries . Under such circumstances , entries and fees paid will be refunded .
8 . Every animal or article exhibited on the grounds shall be under the control of the Superintendents of that department , and no animals or articles shall be removed from the Fairgrounds prior to stated release time without permission of the Superintendent and Fair Office .
9 . Care will be taken to prevent loss or injury to animals or articles exhibited . The Fair Association will not be responsible for any loss or damage that may occur . No animal will be allowed to run at large on the grounds , including domestic animals in the camping areas .
10 . Every animal must be entered for competition in the name of the owner / agent . Entries in non-livestock departments must be entered in the exhibitor ’ s name and produced and / or made by the exhibitor .
11 . When entry of a Non-Livestock article is made , an Exhibit Tag bearing the class name , class number , exhibitor name , etc . will be furnished by the Fair Office . The exhibitor must securely attach the tag to the article and keep in place during the exhibition . An Exhibit Tag will also be attached to pens in the Poultry Department by the Superintendent ( s ).
12 . Only two ( 2 ) premiums per exhibitor , per class will be allowed . Exceptions : non-livestock department J , K , L , M , O and P where only one ( 1 ) premium per exhibitor , per class .
13 . Exhibitors causing or making false statements regarding animals or articles entered in competition or interfering with Judges or Superintendents , shall be excluded from competition and premiums awarded shall be forfeited . Exhibitors shall be escorted from the grounds and banned from further competition for a limited time set by the Fair Board of Directors .
14 . Protest Clause : Any exhibitor lodging a protest must first deposit $ 25 with the Fair Executive Manager . The deposit will be forfeited to the Stephenson County Fair Association if the protest is not sustained . All protests must be made in writing , signed by the protestor and be submitted by 10 pm the night of the show . All protests will be decided upon by a chosen committee .
15 . In the case of inclement weather or any other unavoidable causes , which are just , and the Fair Association finds it cannot pay all premiums in full , it reserves the right to pro-rate some . In which case , no premiums will be paid during the period of the Fair . If sufficient funds are on hand , all will be paid within 30 days after the close of the Fair .
16 . No sale of livestock or articles exhibited will be permitted at public auction , unless satisfactory arrangements are made with the Fair Association .
17 . Department Superintendents are permitted to remove exhibits when they are no longer suitable for exhibiting as in the case of fruits and vegetables on display for Non-Livestock .
18 . Every precaution will be taken for the safeguarding of animals or articles placed on exhibit , and vehicles parked in designated areas . Exhibitors ’ trailers should be parked in the designated area or towed at the owner ’ s expense . The Fair Association will not be responsible for any loss due to fire , theft , or that which may otherwise occur .
