REMINDERS FOR COACHING A CLUB
TEAM & RECRUITING FOR
YOUR SPORT
Stanford Athletics is prohibited from providing expenses
to local club teams. Because of this restriction, Stanford
may not assist with funding for recruiting expenses for
an 2014
Mayevent during which a Stanford coach will also be
working with a local club team.
When a Stanford coach is receiving expenses from his/
her club program (such as for the club team’s travel
to a competition), the Stanford coach is not permitted
to engage in recruiting activities on behalf of Stanford.
Meanwhile, it is not permissible per NCAA regulations
for any outside organization, agency or group of
individuals to expend funds to help with Stanford’s
recruitment of prospective student-athletes, re gardless
of the amount. If a Stanford coach receives expenses
from the local club team to attend any portion of an
event (such as a tournament), the Stanford coach may
not engage in recruiting activities on behalf of Stanford.
For example if a Stanford coach’s club team only
competes on Friday during a 3-day tournament and the
coach receives expenses from the club to travel to/from
the tournament, the coach may not stay to recruit on
behalf of Stanford on Saturday and Sunday.
Further, this includes that a coach’s expenses may not
be provided in part by the club program and in part by
the institution (e.g., 50/50 split). Sharing the expenses
in any manner is not permissible because it is not
permissible for the outside entity to pay for recruitng
and it’s not permissible for Stanford to help with funding
for the local sports club.
Additional notes to keep in mind regarding your work
with a local club program:

Stanford is not permitted to assist with any expenses
for the club program or to help offset expenses.
•
Club programs that request to use Stanford facilities
or equipment must pay the Stanford established
rental fees for each use. To seek approval for
use of a Stanford facility for a club program,
please complete the Facility Rental Request form
and submit it to Jessica Everhart in Compliance
Services.
•
Stanford and club programs cannot co-mingle
funds or share equipment (e.g., Stanford and the
club each own 50% of a piece of equipment). All
business and accounting transactions for a club
program cannot be coordinated or paid through
Stanford.

The baseball coaches at Ocean State University (OSU)
require their student-athletes to help prepare the field
for practices by removing the tarps and lining the
infield. This prep work takes 1 hour to complete each
day before practice.
Because the coaches require the student-athletes to
perform these jobs, are they considered countable
activities and need to be recorded on the weekly
practice logs?
No...A 2011 NCAA interpretation notes that field or
facility preparation that is completed by a studentathlete (related to practice or competition and required,
supervised or monitored by a coaching staff member)
is not a countable athletically related activity. Therefore,
this time does not need to be recorded on your sport’s
practice logs. Compliance Services does recommend
that you educate your student-athletes about this
during the year so there is no confusion about this time
not counting toward the 20 hours or 8 hours per week.

Conditioning and Expenses Outside
the Playing Season

[The NCAA] confirmed that it is not permissible to
provide expenses (e.g., travel, lodging, meals) to studentathletes in conjunction with permissible conditioning
activities that may occur outside the playing season during the academic year.
However, Stanford may pay a fee related to the conduct
of permissible conditioning activities (e.g., fee for yoga
instruction, fee related to a conditioning program).
