The organisers must have access ( mobile phone ) to at least one teacher / responsible adult during the event in case of emergency and it is assumed that the mobile number inserted above is that person . Any change must be brought to the attention of the organisers before entry . TY EXPO is an educational event and , for health and safety reasons , the student : teacher ratio should reflect those of school policy . Student codes of behaviour are to be adhered to at the event . Payment is split over two payments ; Deposit ( 50 % of estimated numbers ) and the balance ( Actual attendance numbers ). The deposit will be invoiced on receipt of this registration form and is non-refundable The balance will be invoiced after the event on attendance numbers Payments are due immediately on invoice . Cancellations received on or before Friday 01 September will not be liable for the balance . Cancellations received after Friday 01 September remain liable for full payment based on estimated number of students as there will be insufficient time for the organisers to allocate spaces to an alternative group .
