It ’ s Year End function time !
It ’ s time to start planning the celebration of the year – a fun gathering of dedicated staff members , suppliers and / or clients that have been instrumental this year , a time to let hair down after the stress of a tough economic and political year and to enjoy with an opportunity to say , ‘ thank you ’ and get ready for the challenges of 2018 .
H ere is our Chappie wrapper moment … Did you know that there are only 91 days left to organise your year-end party if you ’ re planning to host it in November ? And did you know that there are only 106 days left until the 15th December , a date when most company ’ s close for the year ? Seem daunting ? Don ’ t let it be , because we are here to ensure everything runs smoothly so that your yearly ‘ planning a function nightmare ’ does not rear its ugly head this time round !
Here are four important rules to follow when organising your year-end function within an allocated budget :
Rule 1 : Budget and the employee ‘ type ’ Take into consideration the budget per person and what your company would be willing to allocate as a whole . This would include the venue / drinks / meals / décor / entertainment / staff transport and possibly accommodation , depending on your venue . A point to take into consideration is that most ladies appreciate decor and good entertainment , whereas men consider the menu and drinks the main focus of the evening .
Rule 2 : Menu and Drinks
• Apart from the venue , the meal served on the day is by far the most important part of the day . No matter the demographic / religion or age , the meal you select will not please 100 % of your team – research your team ’ s preferences ( are there vegetarians / vegans / halaal / kosher ?), so that when you approach a venue for quotes , you have your idea of a menu . A buffet-style menu always works well , as this allows for options . Consider ‘ themed ’ menus to match your décor and entertainment … Mexican evening ? Serve salsa and tacos !

Alternatively look for a venue that incorporates drinks into their package - this way you know what you will be paying for as well as having control over the alcohol consumption . Rule 3 : Venue and Staffing With your budget at hand , you can now approach venues and / or restaurants , requesting quotations within your allocated budget – no more time-wasting with exorbitant quotations that are way out of budget ! Enquire as to whether they offer discounts for different days and / or times ( venues may charge more for a Saturday evening than say for a Wednesday afternoon ). An important factor to take into consideration is that most restaurants are fully booked over the November / December periods due to Year End Functions , thereby losing ‘ the personal touch ’ – it also limits interaction possibilities in the event of awards being given out , or speeches that need to be made . Consider approaching a venue such as Corporate Conference Centre instead of a restaurant as we do cater for small to large private functions and we are able to offer the exclusivity you need .
Rule 4 : Décor and Entertainment Should your budget allow , it is recommended that you incorporate a theme – there is no better ice-breaker than all the staff having to dress up ! Not only does this bring teams together , but it also allows them to show and / or explore their creativity in their own way . Have a vote , asking each team member to pick a theme and then , through a process of elimination , decide upon the winning theme – this could be an exciting ‘ build-up ’ to the eventual Grand Finale of The Evening of the Year !
