ProxyVotingProcedures
for
Southwest Suburban Dallas Chapter

Jack and Jill of America, Inc.
As approved by the Chapter on September 21, 2010
I.
Proxies may be employed for voting in all situations EXCEPT when
casting votes for new officers, new members, or Chapter Bylaw
amendments. .
II.
Proxies may be utilized at Regular Mother’s Meeting, Special Meetings,
and Executive Committee meetings. Proxies may not be used during
Standing or Special or Ad Hoc Committee meetings.
III.
Proxies must be properly submitted in order to be counted (See, the
Chapter’s Rules of Conduct and Procedures).
Attached is the Proxy Form that must executed anytime a Member desires to vote
by proxy. Please do not make any changes to the form without first consulting
the Bylaws Committee Chair as this form has been formally approved by the
Chapter Membership. Complete the blanks, execute an original, and deliver the
original form to your assignee/proxy. Your proxy must present an original at the
meeting in order for your vote to be counted.
Only proxies that can be verified/authenticated may be voted. For verification
purposes please email or fax your signature to the Chapter Parliamentarian
(number is on the form) for verification purposes prior to the meeting at which the
proxy may be voted. The signature does not need to be an official one, but it does
need to match the signature used on the proxy form. If you provided a signature for
verification at the beginning of the Program Year, that signature may be used for
verification purposes. It is the assignor’s responsibility to ensure that sample
signature is available for verification by the Chapter Parliamentarian or the
Chapter Sergeant-at-Arms.
Caveats:
1. Please note your proxy will give your assignee the right to make decisions on your
behalf through the date/time that you terminate her authority or up to the time
when you revoke the authority.
2. Please note that if, for some reason, your assignee is not present for the
meeting, your vote cannot be exercised by anyone other than the mother named on
the form.
