plant growth . Confirm any and all blisters are addressed , and that drains and scuppers are free and clear of debris .
Step up or down doorways or low clearance areas – Many of the entrances to the roof , elevator rooms , and mechanical rooms have a step up or down when passing through it . Reflective tape , yellow paint and / or signage should be in place to warn personnel of the step so they do not trip . The same safety precautions should be utilized for low clearance areas . These are simple items but could make a big difference in the judges ’ scoring .
Piping with flow arrows - HVAC return and supply piping , fire pump piping and any other pipes with liquid or gas flowing should have arrows indicating the flow . This is important so that if a leak occurs everyone will know which direction to use to properly shut the system off .
Security desk and equipment – If your building is equipped with a security desk , keep the security area neat and tidy . Ensure that all cameras are in working condition . The post orders , vendor sign in book and building rules and regulations must be readily available at the security desk . Loading dock procedures , access to the building after hours , and access to the tenant only floors should be visibly secured by building security team .
BE PREPARED FOR QUESTIONS
Make sure that your team is ready for questions . Your day porter , security guard and maintenance staff are all subject to questioning on how well they know the building and their duties . Security , Engineering and Management may be asked a “ What if ” scenario question such as “ what do you do in case of a fire alarm ,” or “ how do you prepare for a hurricane .” While it does not need to be memorized all team members should have a clear understanding of their duties in all scenarios .
BOOKS , BINDERS AND COMPUTERS
Have all of your manuals , binders and budgets ( capital and operating ) available before the judges arrive . Be prepared for them to review the information then ask questions . It is good to sit down in an area to go over questions or non-applicable items with the judges . If you have a conference room within your management office , or a vacant space with tables and chairs this would be a good area to set up prior to the arrival of your judges . If your books or manuals are online your can either print out the table of contents or show them how you have access online .
THE MOST IMPORTANT JUDGING SHEET ( THE LAST PAGE )
The most points to gain in the TOBY ’ s are on the last judging sheet ( Community Impact , Tenant Relations , Energy Conservation , Training …). This page is the most overlooked and probably the most underutilized of all of the entrants . It is also the most subjective . Your job is to overwhelm and WOW the judges with all of the items that you can list in each category . The more the BETTER ! Pictures help speak volumes to the judges , as it shows an action not just a story being told . Go over each line item with your team and list ALL items to determine how to maximize your score . Remember nothing is too small or insignificant when listing items in those categories . See below for more advice on every aspect of the last page :
Building Description , Building Standards , Competition Photographs ( 5 points ) – Most managers have a building information binder and / or cheat sheet . If you do not have one it is best that you create and or prepare one . This binder and / or cheat sheet should have information about the building including ; when the building was constructed , who was the architect , information about the HVAC , data of other building equipment and evidence on building standards . Having the binder and / or cheat sheet on the conference table is helpful to show the judges . It is always beneficial to have professional photos of the building taken to have available that day .
Community Impact ( 15 points ) – List any event , drive , charitable campaign you or your staff has participated in . Include photos . A building event such as a Make A Wish campaign , a food drive , earth day , lighting the building in pink for October ( breast
