Is the content of your filing cabinets in order?

Whether you like to file your file folders with January 1st in the front and December 31st to the back or visa versa, the task of filing is intended to provide a simple way for you to locate certain information.

When it comes to filing a stack of manilla folders with people’s names on the labels, do you know where Sister Mary Theresa’s file would go in the cabinet drawer? Do you think it would go under S for Sister, M for Mary or T for Theresa? What about company names that begin with the word The?

To help answer those questions, we have six tips to help you stay organized and locate your files.

Tip #1 and answer to filing Sister Mary Theresa’s file.

The standard order for filing a person’s name is last name, first name, middle name. When the individual's title is considered the first part of their name (as in the case of Sister Mary Theresa), then it is alphabetized first.

~Queen Elizabeth is filed as Queen-Elizabeth

~Sister Mary Theresa is filed as Sister-Mary-Theresa

Tip #2

Individual’s title is added to their full name, it is considered the last unit.

~Mayor Daniel Jones is filed as Jones-Daniel-Mayor

~Sheriff Thomas Smith is filed as Smith,-Thomas-Sheriff

Tip #3

Business name is made up of two or more surnames, it is filed in order.

~Johnson, Dunlop, Case LLC is filed as Johnson-Dunlop-Case-LLC

~Marriott Dunkin Building Supply is filed as Marriott-Dunkin-Building-Supply

Tip #4

Business name is made up of a person’s name, it is filed with last name first, first name second.

~Ben Murphy Hardware is filed as Murphy-Ben-Hardware

~Suzie Williams Soda Shoppe is filed as Williams-Suzie-Soda-Shoppe

Tip #5

Letters used to form a business name, each letter is considered as a separate unit.

~WBNZ Radio is filed as W-B-N-Z-Radio Station

~ABC Plumbing Company is filed at A-B-C-Plumbing-Company
