Getting your mailbox back in shape
Most e-mail boxes have quota limits . It is not uncommon for users to receive a message that their mailbox is exceeding this quota . Based on the licensing option , your mailbox might either be limited to 50GB or 100GB . When your mailbox is getting bigger , you will initially get a notification e-mail , then you will lose the ability to send e-mail and finally your mailbox will be unable to receive new e-mails if you do not clear it up . The sender will receive a “ Mailbox is full ” message .
You can check the size of your mailbox in Outlook by clicking “ File ” and you will see your mailbox size under Mailbox Settings . An additional option is to right click on the Outlook status bar “ Customize Status Bar ” and set “ Quota Information ” to “ On ”.
Here are some ways to keep your mailbox size under control :
• Archive older items . Move old items you want to keep to an archive . You can create a separate Outlook Data File (. pst ) that you can open from Outlook any time you need it . By default , Outlook automatically archives items at a regular interval . You can also archive items manually whenever you want . That way , you can decide which items to archive , when to archive them , and where to store them .
• Empty the Deleted Items folder frequently to make sure you are not keeping messages you do not need .
• Periodically empty the Junk E-mail folder to save your inbox space for messages you want .
• Store attachments outside your mailbox . As attachments accumulate over time , they can take up a lot of space . For attachments you want to keep , consider saving them to a team site or to OneDrive .
