Start smart: Essential paperwork before the job starts

Paperwork before the first tool is picked up is often seen as an unnecessary or time-wasting exercise. But paperwork is not merely an administrative requirement – it is a critical step that protects the client, safeguards the contractor, and ensures that the contract work is completed in a structured, transparent and professional manner.
It is easy to dismiss paperwork as admin, and either rush through it or ignore it completely. But the importance of paperwork cannot be stressed enough. In this article, we look at the three most important documents that all plumbers should have before they start the work: 1. Quotes and Scope of Works 2. Terms and Conditions 3. Contracts.
• For bigger projects, it is best to group the items together, such as by stating“… including all pipes, fittings, etc.”
• For smaller, maintenance work, an itemised list of materials to be used should be listed.
6. Materials supplied by the client Clearly list all items the client must supply, such as special finishes selected by the client.

Quotation and scope of works All plumbing quotations should be clear, detailed and easy for the client to understand. A proper quotation protects both the plumber and the client by confirming exactly what is included, what is excluded, who supplies which materials and what the client is agreeing to before work starts.
A plumbing quotation should include the following: 1. Business details Company name, contact details, address, VAT number if applicable, and registration details if required.
2. Client details Client name, contact number, email address, and site address where the work will be carried out.
3. Date and quotation number Each quotation should have a date and unique reference number for record keeping.
4. Detailed scope of work A clear description of the plumbing work to be completed. The scope of work needs to be clear and leave no room for ambiguity so that you are not doing work you didn’ t quote the client for. It is important to include here the address of where the works will be carried out.
5. Materials supplied by the plumber Clearly list all materials included in the quotation and supplied by the plumber, such as pipes, fittings, valves, geysers, drip trays, waste pipes, traps, isolating valves or other plumbing materials.
7. Items excluded Clearly state what is not included, such as tiling, electrical work, painting, building work, ceilings, cupboards, waterproofing, rubble removal or repairs to finishes unless specifically quoted.
8. Labour and transport costs State whether labour is included in the quote price or not, as well as transport costs.
9. Additional work clause Also known as variation orders, this includes any extra work not included in the original quotation. Any additional work must be quoted separately and approved in writing before work starts – having an agreed rate of labour, material and mark-up with the client before any work begins will make variation orders a much smoother process.
10. Payment terms Deposit required, progress payments, final payment terms and due dates. Clients can have a different interpretation of what‘ finished’ looks like, so it is important to clarify what practical completion will look like. It is also worth noting who the material belongs to( either the plumber or the client) until final payment is made.
11. Validity period State how long the quotation is valid for. Generally, 14-day or 30-day validity for a quote is used, depending on the workload. It is important to mention that the quote is subject to price increases during this time.
12. Acceptance section Provide space for the client to sign and accept the quotation before work begins. NOTE: The person accepting the work could be a
