Service Feature

The 5am no-show that fixed itself

By Daniel Davis, Director, Swift Recruit
AT 5:02 on a Tuesday morning, a driver booked into one of IBMG’ s branches texts to say he’ s ill. By 5:19, before any manager has seen the message, a replacement has been found, offered and confirmed- a driver the system already knew was free, lived nearby, held the right lorry loader ticket and was rated highly on his last three group shifts.
Nobody made a phone call. Most mornings, nobody even knows there was a wobble. That isn’ t how agency driving normally works, and it isn’ t luck. The technology behind the service connects what phone calls and spreadsheets never could.
Built, not bought Most driving agencies still rely on phone calls, spreadsheets and offthe-shelf recruitment CRMs- systems designed to manage candidates and recruiters, not a live driver supply chain.
Swift Recruit is different. We had a bespoke platform built for the job: more than 300 interconnected database tables, hundreds of automated functions and over a decade of realworld driver-supply experience built in.
What began as a fix for our own agency’ s problems is now the platform our entire operation runs on. As far as we’ re aware, nothing else like it exists for temporary driver supply to the merchant sector. What that gives a merchant isn’ t simply a slicker portal. It tackles one of the oldest problems in using agency workers, you book a shift and a stranger turns up. Their reliability, qualifications and proven performance can be a black box until something goes wrong.
Your purchase-order system can track that driver’ s cost to the penny. It has never told you whether the driver at your gate is any good.
Drivers your business knows— and who know your business Every driver carries one record that follows them across the group. They may be new to a branch, but they don’ t have to be new to your business.
When a driver arrives, the branch manager can see at a glance shifts completed, sites worked, their star ratings, performance and punctuality history, and any recorded accidents or infringements.

Group-recognised inductions, qualifications and compliance documents travel with the driver, visible at a click in the portal or app. Cleared once, recognised across the group, all helping stop a non-compliant driver ever reaching a branch.
When you book cover, you’ re drawing from a pool of known, rated and proven drivers whose history your business can actually see, not gambling on a name from a list.
And when the right specialist isn’ t already there, we can build one. Through Swift’ s partnership with QDL Services, a trusted Class 2 driver can be put through their lorry loader qualification, developing one of the industry’ s scarcest specialists from a driver you already know, rather than hunting the open market.
Compliance you can see Compliance is shown, not sworn to. Licences, points, CPC, lorry loader tickets and right-to-work documentation are monitored, with expiring documents flagged before they become a problem, not the morning a driver is turned away at the gate, or after an incident.
When a shift does fail, it’ s logged as it happens and the reason is recorded. That’ s the difference between managing a problem in real time and discovering a missed delivery days later.
As IBMG Transport Operations Manager Kris Reid puts it:“ No agency’ s perfect; shifts get missed. The difference with Swift is they put their failures on page one of the report and tell me what they’ re doing about them. Nobody’ s ever done that before.”
One partner, one picture None of this works as well if bookings are scattered across three or four agencies per branch, each holding a fragment of the picture.
A driver’ s record becomes valuable when the work runs through one place. The case for a single accountable partner isn’ t about loyalty; it’ s about knowledge.
Fill first from your own proven driver pool, then cascade overflow to a small, vetted second tier working to the same standards. Every shift adds to the picture. The more the system knows, the better the next decision becomes.
And it shows in the one place that matters: performance.
Independent Builders Merchants( IBMG) is the largest independent merchant group in the South of England, supplying the trade from Penzance to Gatwick. Across the divisions Swift covers, 3,753 shifts and 32,000 hours have been supplied in 2026 so far at 98.7 % fulfilment, with just 1.8 % ultimately unfilled.
Through the second quarter, often one of the hardest periods to find drivers, 2,083 shifts were supplied at 98.9 % fulfilment.
That isn’ t a bigger call centre trying harder. It’ s what happens when the system knows the drivers.
Spend less, know more Our objective was simple: help clients spend less on agency labour while getting more value from what they do spend.
Rather than spreading spend across multiple suppliers, concentrate it with a partner that can analyse, understand and help control it.
Real-time data gives clients visibility not just of how much they’ re spending, but why, e. g sickness, holidays, vacancies, peaks in demand or recurring shortages.
That insight lets us work together to reduce unnecessary agency usage, identify patterns, plan ahead and make every pound of temporary labour spend work harder.
The driver shortage is real, and it will keep making headlines for years. But the merchants who feel it least won’ t necessarily be the ones who found more drivers. They’ ll be the ones who stopped opening the gate to strangers, who know who’ s driving the lorry, whether they’ re any good, whether they know the business and whether they’ re compliant.
Which brings us back to that Tuesday.
At 5:02, a driver dropped out. By 5:19, the gap had quietly been closed. At 7am, the branch opened, the lorry was loaded and the day’ s deliveries were ready to go- its manager none the wiser there had ever been a problem.
Because the driver shortage was never only a shortage of drivers.
It was a shortage of knowing.
