Meeting Minutes

There is an animal welfare statement in the Rule Book , we would like to encourage clubs to post this at the shows .
Nominating : Kevin Berger There are four seats up for election this year . One member is going off the Board . Contact Kevin or Ann if you or anyone you know if interested in becoming a Board member .
Procedures : Sandy Strube Approved two procedures today and working on more for next month .
Publicity : Lori Taylor : Absent . Sara reported that at the booth at the MN Horse Expo , they had a promotional video . Bella reported that at the MN Horse Expos they got tickets to attend the western showcase . Ashley reported that the Royalty Show is June 19 th at JRD Ranch . There will be prizes , give aways , and gifts for the dads . Emily reported that at the MN Horse Expo they took pictures with kids and did autographs as well .
Royalty : Bridget Behrns Bridget said the Royalty contest is open to women 18 & over and you are the current Queen of a Saddle Club . The application deadline is July 1 st .
Rulebook : Cindy Ladd The new Rule Books are here . You do not need to wait till 2024 to petition .
Safety Committee : Corey Swartout Absent . Nothing to report .
Scholarship : Julie Gintner The applications must be postmarked by May 2 nd . The forms are in the Spotlight and on the website . Encourage new graduates and those further their education to apply for a scholarship .
Spotlight : James Duenow A couple of months ago we moved to a digital Spotlight . With the printed Spotlight , the gross revenue was $ 16,140 and the cost was $ 30,000 . WSCA was losing $ 7.18 per Spotlight . After 3 months the visibility of the Spotlight is up 1500 %, as the monthly opens are 3,500 and previously the Spotlight only went to 275 people . Secretaries can print out the Spotlight and bring to the meetings . You have the option to print whole Spotlight are just one page . Champ Show is 90 % of our income and we needed to look at our costs and revenue , since there was no 2020 Champ Show .
Old Business :
Petty Livestock was selling their business and stalls several years ago . They did not have enough for WSCA to buy , so Steve Tibbetts had stalls built and rented them to WSCA . The down payment from 2020 was applied to the purchase of the stalls . In 5 years , the stalls will be paid off . It is WSCA ’ s responsibility to set up the stalls . It took 200 hours to set up the stalls and ½ of that time to take them down . Looking for someone to be a part of a committee for stalls and we need volunteers . They are currently stored but will be looking for new storage . It takes 4 semi loads to haul the stalls . The 4H contract was transferred to WSCA , which will be $ 15,000 to $ 20,000 in additional income .
Matthew Saterbak was working on a qualification system for WSCA . In 2021 we used a hybrid live entry and qualification system . For ease of use we are going to move to a subscription-based system and the updates will be provided . WSCA is selling back the rights to the custom build system and getting credit for the next 2 years . After 2 years we would pay 8 % of the entry fees to use the subscription systems .
New Business :
Salary increases are typically given on an annual basis , the last time the Secretary , Treasurer , and Qualifications Coordinator received increases were in 2016 . The Board previously voted , and approved increases for the 3 positions . Lynn requested a show of hands for approval from the Delegates for the increases . All delegates approved , and none opposed .
The WSCF fundraiser show is May 21-22 , 2022 . You can enter the show on-line . There will be a silent auction and prize giveaways . Looking for volunteers to help with the show .

Motion made by Cindy Ladd ( Over Easy Riders ), seconded by Marlys Mooney ( Buffalo Saddle Club ) to adjourn the meeting at 3:41 PM . Motion carried unanimously .
