Continued from page 45 back office . “ Having an effective back office also means managers will need to help their teams develop new skills centered on interpreting data in order to make data-driven decisions ,” Littles said .
Onboarding and Training
Another key part of building a back office includes the onboarding and training process . At HFP , the process of onboarding for office support is organized and created in collaboration with the HR department and the head of the hiring department . “ Onboarding typically includes a general orientation , in-club learnings and departmental trainings anywhere from two to four weeks based on position ,” Llamas said .
Excel includes a hiring orientation , helping new hires begin the process of developing strong relationships within the organization . “ We develop 30- , 60- , 90-day plans for each new hire to provide early guidance on key activities and role expectations ,” Ryan said . “ We schedule first-day-of-work logistics , in addition to one-on-one meetings with business partners . We also make sure that our team members participate in an Immersion Day inside clubs , so they understand what it means to support not only our back office but the club-level colleagues .”
Excel ’ s training process includes several specific activities , including the completion of PF University courses and the creation of individual development plans . “ We familiarize new colleagues with our leadership competencies and people managers participate in hiring trainings and regular human capital check-ins to assess departmental staffing needs ,” Ryan said .
Then , there ’ s tactical training on the modes of communication , processes and systems used to conduct business . Departmental leaders provide additional training within their functions to ensure colleagues have the tools and capabilities to be successful in their roles . “ Performance evaluations help us understand a team player ’ s capabilities over time , and departmental leaders are expected to provide regular feedback outside of formal reviews ,” Ryan added .
Taymax has recently begun to provide a more consistent orientation and onboarding experience to all back-office new hires . “ While most back-office roles are specialized and new team members will receive primarily hands-on training from their immediate supervisors and peers , we find great value in providing them with a couple of days structured to welcome them to Taymax , offer them an introduction to both our company history as well as the PF story , set them up with one-on-one meet-and-greet sessions with cross-functional partners , etc .,” McGrath said .
To summarize , building a back-office structure can help all operations of the business run more efficiently and effectively while also holding space for accountability and ensuring the best outcomes for members and team members alike .
“ Hierarchy is only valuable as far as it serves the overall business strategy ; we ensure that decisions are made at the right level ,” Ryan said . “ We ensure we have the right people in the right seats .” “ We recognize that hiring the right person plays such an important part in achieving departmental efficiency ,” Saxena said . “ And we firmly believe that ‘ culture costs money ,’ so we invest in our culture just like we would a physical asset .” G
