BOOKING CONDITIONS AND
GENERAL INFORMATION
BOOKING CONDITIONS
Travel Agent is responsible for ensuring that the Booking
Conditions stared herein are brought to the attention of
and agreed with their final consumers, intermediaries
and all other interested parties prior to entering into any
agreement with those parries to which these Booking
Terms and Conditions apply.
INCLUSIONS
Inclusions are noted for each programme. Unless
otherwise specified, nor included are, airfare, airport
improvement fees, national or provincial park fees,
portage, tip, drinking water, meals or items of a personal
nature. Any type of mandatory fee like a resort fee / city
tax etc has to be paid at the hotel directly, the same in not
a part of the package. Transfers to & from for attraction
only are on own arrangement. Please note rates are
subject to availability at the time of booking.
TAXES, FUEL SURCHARGES AND SERVICE CHARGES
Should tax structures, changes in tax rates or
fuel surcharges be implemented, selling prices
will be adjusted and all partners will be notified
of new prices which will take effect upon
such notification.
BOOKING PROCEDURES

All reservations should be made via Email.
Mazda Travel Inc. will forward all confirmations online
or via email. It is the responsibility of the booking agent
to check the accuracy of the confirmations. Any errors
must be reported to us immediately. If we are not advised
of errors, any resulting no show charges will be billed to
the agent.
HOTELS
Hotel categories listed are not official and are the opinion
of Mazda Travel Inc. Similar hotel rates do not signify
similar category.
UPDATES & ALTERNATE HOTELS
Mazda Travel Inc. will confirm alternate hotels if possible
when the requested hotel is not available. Please advise
in advance if passengers do not want any alternate hotel.
All confirmations are considered final for requested or
alternate hotels. If a hotel confirmed is not acceptable to
you or your passenger, Mazda Travel Inc. must be advised
to cancel or resulting no show charges will be billed to the
booking agent.
VOUCHERS
Mazda Travel Inc. will issue their vouchers to all
suppliers. Agent vouchers will not be accepted by
suppliers. Vouchers must say “Booked and Payable by
Mazda Travel Inc. Canada. Tel: (604) 888-7845. Mazda
Travel Inc. will not be responsible for any vouchers
issued without confirmation from us. All vouchers
must be issued for services exactly as confirmed by us.
Passengers travelling without voucher, with vouchers
issued incorrectly or issued for services not confirmed by
Mazda Travel Inc. may be charged directly by hotels or
service suppliers at their current rates on their respective
credit cards.
HOTEL & BEDDING
Our confirmation use the terms: Single, Double, Triple,
Quad to indicate the number of full paying passengers
in a room. Agent will be charged the corresponding tariff
rate.These terms do not refer in anyway to number or
types of beds that are confirmed in the room. For example,
confirmation for a Triple does not mean we are confirming
3 beds in a room. Bedding varies from hotel to hotel.
CHILDREN’S POLICY
A maximum of two children will be given free when
sharing with two full paying passengers. This policy may
vary from hotel to hotel. All Family Plan policies are based
on using existing bedding in the room. Free children will
be determined by the policy of each hotel. Exact ages of
children must be advised, children cannot be confirmed
without ages. They will be confirmed as full paying adults.
PAYMENT PROCEDURE
Full payment must be received at least 14 days prior to
arrival. No payment will result in automatic cancellation.
Passengers will not be accepted unless full payment has
been received. Any resulting inconvenience to passengers
will not be the responsibility of Mazda Travel Inc. Payment
can be settled by any of the following methods.

*Note For all Fairmont Properties & Mountain Parks &
lodges, no charge until 46 Days. After 45 days 100%
room cost of the first night will be applicable.
Services once re-confirmed and canceled fees will be
applicable. (Even if not falling under the cancellation
deadline)
CLAIMS AND ADJUSTMENTS
Claims for refunds and adjustments must be made
within 30 days of passenger’s departure. Claims must
be accompanied by full details and documentation. If
passenger cancels a hotel directly, they must supply
cancellation number or hotel employee name, date and
time cancelled. If passenger is asked to pay directly, they
should call Mazda Travel Inc. immediately. Any receipts or
proof of payment must be submitted to Mazda Travel to
process necessary refund.

Mazda Travel office hours are Monday – Friday 1000 –
1800 hours Vancouver local time. Request received after
these hours are nor valid until the next business day.
Request sent on Saturday for changes or cancellation for
Sunday or Monday arrivals may not be acted on and may
be subject to “No Show” or cancellation charges.

Bank No. 004 Branch, 9188 The Agreement shall be constructed and interpreted in
accordance with the laws of Canada. In the event of any
disputes arising out of this Agreement, both parties agree
that the same shall be subject to the exclusive jurisdiction
of courts, forum and tribunals in Vancouver, Canada only.
Bank Drafts payable on any Canadian Bank.
Any service fees charged by banks for processing will be
charged to the payee.
No further GST/HST Rebates can be claimed on the
above.

CANCELLATION PROCEDURES AND CHARGES
Mazda Travel will confirm all services on a booking. We
reconfirm all bookings, changes and cancellation. Booking
agent is responsible for checking that our confirmation
is received for all booking changes and cancellations. If
you do not receive confirmation for the cancellation or
change you must re-send your message. Cancellations
are not valid without our written confirmation. For RMR &
VIA Rail there are different cancellation policies which will
be disclosed on mail. Mazda Travels Inc. will charge for
