VEI module summary 45
“ THE KEY THING IS THAT THIS IS STILL AN EVENT AND THE GUEST EXPERIENCE STILL NEEDS TO BE AMAZING AND CORE TO EVERYTHING YOU DO .”
every second accounted for , along with contingency plans for what happens when things go wrong .
Finally , we speak about sponsors in my module . How do you engage sponsors beyond logos on holding slides . They are still apprehensive of the virtual event platform and want to know that the money they ’ ve invested is worth it .
What unique key teachings will students learn during the module that they can ’ t get elsewhere ?
Having walked it and talked it for 30 years , I provide real-life , practical advice . I start with simplistic technical diagrams to show how it all works and comes together . I also provide multiple scenarios and offer tips and skill requirements . I also give students a real-life show flow , which I start for them and then ask them to complete so that they gain the experience of a tangible , real-world scenario .
Three tips for virtual event organisers on executing the event on the day
1 . Dive deep on understanding the tech of it all - both within your back-end show production tech world and the online platform interfacing world . Every virtual platform is different and often has nuances to capabilities or user experience touchpoint that only pop-up during the extensive testing and talking through its pre-production period . 2 . Your show flow , or cue sheet , needs every second filled . Storyboard the whole thing to make sure you ’ re never in black screen . Even when you ’ re having issues you need a go-to screen to fall back to . This isn ’ t a live show where you can simply pick up a microphone and ask people to wait while you sort out a technical difficulty and play them some soothing music . They will get distracted now very easily . 3 . Have a contingency plan for multiple scenarios . Remote speakers , workers , platforms , content … It all relies essentially on a browser window and robust internet . What happens if anything happens to anyone at any location ? Work through , brief and rehearse the action plan for them before your event .
