Article vi / Meetings

Robert ’ s Rules of Order distinguishes between two types of meetings : Σ regular meetings , which are planned and occur regularly ( e . g ., once a month ); Σ special meetings , which are unplanned .
The NJCL has one regular meeting — the NJCL Convention — but that ’ s covered in its own article . Thus , Article VI only covers special meetings .

Special Meetings .

Note :
The NJCL Board of Directors has two regular meetings ; however since they aren ’ t meetings of the whole organization , they ’ re not covered here . Instead , they can be found in Article IX .
A special meeting of the entire NJCL can be called either by the NJCL President or the Chairperson of the National Committee ( the team of adults who run the NJCL alongside the student officers ). To ensure attendance , the meeting must be announced to JCL States at least three months in advance .
Each State may send up to two representatives , which should be elected before the meeting .
If any sort of vote occurs during a meeting , Article VI has two extra rules : A . Each State gets one vote per representative at the meeting . B . Voting by proxy — getting someone else to vote on a State representatives ’ behalf — is prohibited .

How do I do it ?

If your JCL has any regular meetings , list when they occur or how their dates are determined . E . g .: “ A regular meeting shall be held bimonthly . The exact date of each meeting shall be determined by the Executive Board at least a month prior .”
Specify who can call special meetings and how much time must be given in advance .
Σ Specify who ’ s allowed to attend these meetings .
