These programs alleviate Community Manager’s workload by reducing the influx of work orders, the number of small “time- consuming” bids, and unnecessary back-and-forth communications. But more importantly, they provide assurance that their community will be maintained to a degree unattainable anywhere else. Each program receives an assigned Account Manager (team leader) who oversees the program’s success and has regular communication with the Manager, a quarterly property inspection with a photo report to guide the prioritization of work, and a skilled tradesman to implement the program and address unique needs such as electrical, plumbing, welding and roofing. Plus, there is ready access to ProTec’s specialty equipment. Yet, the most innovative aspect of the program is its focus on preventive maintenance. ProTec’s team is trained to develop and implement the proper preventive maintenance strategies needed to prolong the lifespan of each common area component, thus saving the community significant resources. The other industry innovation is the “New Community Turnover Process” developed with the “HOA Maintenance Manual” to facilitate the turnover process for new communities. The process begins with the creation of a custom HOA Maintenance Manual that contains digital community specific photos of each common area component, schedules outlining when the maintenance should be performed and checklists to guide the implementation. Second, ProTec provides an inspector, acting as an independent third-party, for the community to facilitate a professional turnover process between the Developer and HOA. Finally, ProTec shows each board how to implement the maintenance schedules with your contractors (landscape, building, etc.) as the manual provides the original scopes of work for each contractor to bid.
