Software & I.T. Solutions Proud sponsor of the Software & I.T. Solutions feature Software integration to deliver significant business efficiency improvements » BASED IN LEEDS, Morley Glass and Glazing is the UK’s leading manufacturer and distributor of quality Uni-Blinds/ ScreenLine blinds. These sealed glass units (with incorporated interior blinds) are typically used within glass building panels and bi-folding and sliding doors. This supports architects, specifiers, commercial fabricators and installers. As a long-standing Jotika client, and always keen to embrace bespoke technologies to gain competitive advantage, Morley Glass and Glazing identified several business challenges. Most recently, three specific improvement aims were identified. These were: BLIND PRICE CALCULATION The aim here was to speed up, securitise and improve blind price quotations for the customer. Previously Morley Glass and Glazing was manually calculating customer quotations and invoicing, based on lists and tables from suppliers. This lengthy process required a high-level of experience and knowledge. Software from Jotika has simplified and speeded up this process, whilst minimising the potential for miscalculation. Now, once each client’s blind requirement is identified, the software gives a specifier an easy to follow, on-screen structure. This includes prompts and recommendations to ensure the best-fit selection and aligned pricing. This saves significant time for the in-house specifier and ensures that the most appropriate fit and price is recommended to the client DOCUMENT MANAGEMENT SYSTEM Morley Glass and Glazing also identified a need to digitise their overall business document management system. The organisation’s document use and track system was predominantly paper-based. One consequence of this was an extensive document storage requirement, taking up an entire mezzanine floor at their Leeds HQ. A new and fully integrated software system from Jotika, enabled Morley Glass and Glazing to clear this substantial archive by scanning and digitising documents. This provided safe electronic storage, well as swift document traceability, retrieval and cross-referencing. The paperwork digitised included pricing and specification records, supplier orders and customer orders as well as service installation reports, shipping and delivery records and invoicing and billing records. This digital way of working is now fully integrated into the business. DELIVERY MANAGEMENT SYSTEM Historically, Morley Glass and Glazing was manually planning and programming all deliveries. Using very simple tech such as Google maps, this was detailed and time-consuming work for their delivery manager. A comprehensive delivery management system from Jotika now enables this client to retrospectively scan documents and input data. This automatically links customer purchase and shipping requests to programmed delivery routes. The daily time reduction for this delivery planning alone, was eight to two hours. The Jotika software now fully manages customer order requests, each week’s shop floor production runs, and then the delivery (with the best route and drop planning for the driver with integrated use of Bing/ Google Maps and sat-nav). Work is now underway to add advanced Fleet Wizard software to further refine the delivery management processes. This will include full fleet and vehicle optimisation plus vehicle load management and electronic proof of delivery. Ian Short, MD at Morley Glass and Glazing said: “The whole support package from Jotika is excellent. They are always there to pick up the reins and it is a seamless service based on bespoke solutions to meet our challenges. “Our two organisations share a very similar ethos. We are both innovative and highly customerfocused and the software backs this up. To give just one example, the installation to speed up our customer quotations delivered very significant business improvements. Returning a correct quotation to a potential customer quickly, is business-critical for us. Within the industry, this can be a fourday process but with Jotika glass software integrated, we can now return customer quotations within an hour. “Our next innovations with Jotika include a project to extend the efficiency of our nationwide driver deliveries, plus software to improve our stock control. “Overall, we have a close, 20-year support relationship with Jotika and I can only see this continuing.” www.jotika.com 50 » SEP 2020 » CLEARVIEW-UK.COM
