SUBSTITUTION PROCESS OPENS 20 JANUARY
If you have entered and paid for your entry but are unable to participate in the event, you have the option to substitute out during the Substitute Process, via the official Online Entry System. This process opens on Tuesday 20 January 2026, and will close on 28 February for the Half Marathon and Trail Runs, and on 15 March for the Ultra Marathon. Runners should not that there are a number of important steps to follow and rules that you need to be aware of.
Like-for-Like Substitutions
The responsibility lies with you to find another runner who wishes to take your place and substitute into the race, and note that only likefor-like substitutions are permitted:
• A South African runner may only substitute for another South African runner.
• A Rest-of-Africa runner may only substitute for another Rest-of-Africa runner.
• An international runner may only substitute for another international runner.
• Distance categories must also match, e. g. a Half Marathon entrant can only be substituted by another Half Marathon runner.
Compulsory Process
It is compulsory for all runners to follow the event’ s formal substitution process, as it is vital that each runner is correctly captured in our system on race day, for legal, medical and safety reasons. Accurate records ensure that emergency services, race officials, and timing systems can identify and assist runners appropriately. This means that handing your race bib to another runner outside of this process is strictly prohibited, as is running under somebody else’ s name and number, and failure to comply will result in a disciplinary process for both runners, and may lead to a ban from future TTOM events.
Very Important: Do not pay the original entrant directly. All substitution payments and refunds must be facilitated via the TTOM Entry System, and no money may change hands directly between withdrawing and substitute runners.
THE SUBSTITUTION PROCESS
The Entered Runner( withdrawing and to be substituted):
1. Log into your TTOM profile.
2. Click the‘ Ballot / Entries’ tab on the left of your profile dashboard, where you will be taken to your current entry summary.
3. Click the‘ substitute’ button and select whether you want to make your voucher Private or Public.
4. If you select:
• Private – A voucher number will appear on your screen, as well as in an email that you will receive after substituting out. Send this voucher number to your substitute runner.
• Public – A voucher number will automatically be displayed on the list in the‘ Available Substitutions’ tab.
The New Runner( taking over the entry):

THE REFUND PROCESS
1. Refunds to outgoing original entrant will only be done once the incoming substitution entrant has finalised and paid for his / her entry.
2. Once you have substituted out, please send your proof of banking details to substitutions @ twooceansmarathon. org. za.
3. Upon receipt of your banking details, please allow 7 working days for your refund to be processed as a South African runner.( International runners will be subject to Foreign Exchange submissions to the bank, which will take more than 7 working days.)
4. Note the following:
• Parking, Medal Engraving, Temporary Licences & Hospitality Package purchases will be refunded to the original entrant( if applicable).
• Donations made to the Two Oceans
• Private – You would have received a voucher number from another runner, who would have received it via email.
• Public – Click on the‘ Available Substitutions’ tab on the left of your Runner’ s Dashboard. It will automatically take you to complete your entry. You have 24 hours to make payment.
• Private Voucher – Click on the blue button‘ New Application.’ Enter the voucher number in the first box and click on“ GO”. It will Bolden and Underline the race the voucher is valid for. Click on the race distance and complete the entry process.
3. The system will prompt you to enter any outstanding information, plus personal fee and race-related information. Please follow these prompts to the payment stage, where you will be charged the original entry fee plus a substitution of R210.00.
4. The substitution is only complete once you have redeemed and paid for your entry using the voucher code provided.
Marathon Initiative( TOMI) will remain with TOMI for distribution to our official beneficiaries.
MORE T’ S AND C’ S
• If nobody takes over your entry, it will remain your valid entry, and you can still use it on race day.
• All rules, terms and conditions that apply to the original race entry also apply to the entries of runners that substitute in.
• South African entrants substituting into the Ultra Marathon MUST do a qualifier AND belong to an athletics club.
• Rest-of-Africa and International entrants substituting into the Ultra Marathon MUST do a qualifier.
• Swapping entries outside of the Substitution Process is strictly prohibited.

BEWARE OF SCAMS!
All transactions must go via the entry system! In particular, do not pay another runner directly for their entry, as this is not a valid means of obtaining an entry, and it won’ t be recognised by the entry system. TTOM and Stillwater Sports will not be held liable should you end up with an invalid, fake or non-existent entry due to following any process other than the steps laid out above.
