5 . Performance Counselling and Discipline Policy This is one of the most important policies for a small business as it potentially protects it from being sued . There must be clear guidelines as to what behaviour is serious enough to warrant an instant dismissal , how to manage someone ’ s poor performance , including giving warnings , and how this must be documented .
6 . Privacy and Confidentiality Policy This policy must include information for both clients and employees . It is mandatory to have a Privacy Policy when dealing with clients ’ health information . Clients must know how you will collect , handle , store and discard their personal health information . This must also include specifying who has access to confidential client information and how it is dealt with .
Employees ’ privacy must also be respected regarding their personal information . This will include their Tax File Numbers , ABNs , superannuation information and pay details . Further to this , for employees there must be stipulations on their keeping information they learn during the course of business confidential . This is particularly important for contractors who may work in other clinics and practices . Remember to include statements about their not approaching your clients if they subsequently set up their own practice .
7 . Digital Policy This policy should include information on internet , phone , and social media use . It must also include statements as to what sites should not be visited and the consequences of doing so . It is also a great idea to include information about statements made on behalf of the business , and who can make these . Some people incorporate this policy into the Code of Conduct . Wherever it is , everyone must be clear about what will and won ’ t be tolerated , such as ensuring a mobile phone is switched off during a client ’ s treatment .
8 . Purchasing Policy A Purchasing Policy might include information about preferred providers , how to order and when , but most importantly , who does the ordering . It should also include required stock levels and how to store and handle stock .
9 . Recruitment Policy This policy is also important to protect the business from employing unsuitable workers . There must be clear guidelines as to advertising , interviewing , and doing reference checks . Crossreference to the Discrimination Policy should be included . Here you could also have information about contracts , proof of identity and probation periods . Job descriptions can be a part of this too .
These are just some examples of the policies you should have in place . There may be others you would like to include in this list .
What is important is that you have something written in place that everyone is aware of .
Keeping your skills up to date
This is often something we don ’ t think about in relation to growing our business , but it is necessary . Things change and we need to keep up with these changes . Consider training in new technologies , industry-specific topics or internal processes such as financial management . It doesn ’ t need to be a formal course , it could be something as simple as reading an article in a journal ( like this one for example ), joining in and contributing to a forum , discussing cases with a colleague , or reading a blog . Of course , attending seminars and conferences is also important .
Another way to stay up to date is to task an employee with being the expert in an area . When you have a team meeting get each employee to talk about their area and any updates . The area of expertise could be a modality , a type of treatment or a safe work practice . It doesn ’ t have to be onerous for them , but it does have to get everyone involved and listening .
