SHOWCASE : RECORDS SERVICES

The Records Services Division takes pride in its mission to effectively enter , manage , maintain , and release official records related to police incidents while providing excellent customer service . The division remains steadfast in their commitment to serving the public and contributing to the overarching goals of the City of Arlington and the Police Department .
The Division , comprised of one manager , four supervisors , 23 full-time , and five part-time positions , is split into three work groups :
1 . Counter Services and Record-Keeping : This group is the public-facing group of Records Services , as they handle in-person interactions with citizens . However , this team ' s primary function , record-keeping , is to ensure that arrest paperwork and other police documents are organized and adequately scanned into the appropriate electronic files for storage . In 2023 , approximately 18,000 records were digitized , freeing up significant space and enhancing accessibility to those records for other police personnel .
2 . Open Records Requests and Intergovernmental Records Requests ( ORR / IRR ): In 2023 , this team answered more than 17,305 requests for police records and was able to collect all documents responsive to each request . This task requires considerable attention to detail , organization , and follow-up to ensure compliance with the Freedom of Information Act ( FOIA ) and reduce risk for the City of Arlington and the Police Department while fostering transparency to requestors .
3 . Report Entry , Merge , and Uniform Crime Reporting ( UCR ): Report Entry includes the intake of reports from various sources and entering them into the records management system .
Merge involves a quality review and error check of all reports as they are transferred from field entry into the permanent records management system . An estimated 63,735 cases were merged in 2023 .
Uniform Crime Reporting ( UCR ) is the FBI program that reports official crime data in the United States . Data is collected and submitted monthly to the Texas Department of Public Safety ' s UCR Division . Records Services processes that data by clearing edits and corresponding with officers to make necessary corrections before submission . The team researched approximately 24,863 cases to ensure the 2023 crime data for the City of Arlington was accurate and complete .
