Planning Management
Venue
Planning What do you need for registration? For the enter-
tainers/speakers? Do you need to bring additional
furniture?
Catering Determine food and beverage needs, including
dietary requirement of guests
Audio/Visual
Requirements Is the venue aware of everything needed, if they
supply (i.e., microphones, video/slide show
capabilities, lighting)
Security Is security required? If liquor is being served, does
the security meet AGLC requirements?
Décor What will the venue look like for the event?
Day-of Management
Staffing/
Volunteers How many people are required? Do they require
training?
Registration
Management What will registration look like? Do guests get
badges/name tags?
Program Final details for the program – will there be back-
ground music? Are there slides/photos?
Hospitality/
Housekeeping Coat check? Where cleaning supplies kept in case of
spillage (or who to contact for it)?
Set up and
take down Who will be doing it and at what times?
